Main Purpose of the Post
We are seeking an Events Assistant Apprentice (level 3) who is looking to gain experience of developing, promoting, and running events. You will be responsible for supporting our busy events programme to ensure that all events run seamlessly. You will work closely with the Events & Training Lead as well as having the opportunity to work with our members and the wider IES team to support our highly regarded events calendar, including our conferences, webinars and training events.
Relishing a varied workday and the chance to engage with a wide range of environmental topics and people, you will need to be organised, proactive, and happy to work both autonomously and collaboratively.
Job Description
- Support the Events & Training Lead with the daily tasks necessary to plan and prepare in-person and virtual events in order to see them through from conception to completion.
- Source appropriate venues using the brief provided and collate a comparison spreadsheet based on key details.
- Schedule meetings, draft meeting minutes, and track actions from meetings on event organisation.
- Support event administration including updating the events calendar, building event web pages, responding to event attendee enquiries, and maintaining planning spreadsheets.
- Update event budgets as expenses are agreed and income confirmed.
- Assist in the development of a marketing plan for each event.
Eligibility Requirements
Essential Qualifications:
GCSE in English (grade A-C/9-4), or equivalent
GCSE in Maths (grade A-C/9-4), or equivalent
Essential Skills, Knowledge and Behaviours:
- Strong written and verbal communication skills e.g. experience of writing meeting minutes, writing copy for a website/social media, chairing meetings
- Organisation skills
- Administrative skills
- IT skills e.g. use of core Microsoft Office packages (Word, Excel, PowerPoint), video conferencing (Zoom, Teams, Google Meet), document management (SharePoint)
- Use initiative when faced with problems/challenges
- Strong attention to detail
The Role
This position is full-time (37.5 hours/week) for a duration of 16 months. The job is to be carried out remotely with occasional travel and overnight stays required when delivering events. Costs associated with travel and accommodation for delivering events will be covered by the IES.
Most of your apprenticeship training will be delivered in the workplace (approx. 80%) with 20% off-the-job training provided by Ginger Nut Training.
The salary for the role will be as follows:
- If over 18, £12.60 per hour
- If under 18, £10 per hour
