Main Purpose of the Post

We are seeking a Membership Officer to support IES members to make the most of their professional membership.

As a key part of our small, dedicated team, you will be instrumental in supporting our members. You will be responsible for the day-to-day operation of membership, and you will provide exceptional membership support, ensuring professional communication and maintaining accurate membership data.

You will oversee and process applications for IES membership and our registers, and will be responsible for delivering excellent customer service and ensuring high standards in the application and renewal process.

You will need to be organised, proactive, and happy to work both autonomously and collaboratively. 

Job Description

  1. Deal with incoming emails and telephone enquiries, acting as the first point of contact for potential and existing members and stakeholders
  2. Be proactive in coordinating, implementing, and improving membership management, membership applications, and renewal procedures and processes
  3. Maintain and update CRM contact records and ensure that data is managed in accordance with our GDPR and confidentiality policies
  4. Promote and maintain excellent levels of service for IES members
  5. Support the promotion of IES membership and services at external events and meetings
  6. Raise and process invoices and bills, deal with payments and reconcile credit card payments
  7. Coordinate and oversee our peer review panels for member applications and registrations
  8. Take a leading role in delivering general administrative tasks and ad hoc office duties

Eligibility Requirements

Essential Qualifications:

  • GCSEs in English and Maths (grade A-C/9-4), or equivalent

Essential skills, knowledge and behaviours:

  • Strong written and verbal communication skills with a keen attention to detail and tone
  • Demonstrable track record of delivering excellent customer service via phone and email
  • At least two years of administrative/secretarial experience, including the maintenance of office systems
  • Excellent organisational skills with an ability to organise and prioritise workload
  • Demonstrable experience dealing with confidential information
  • Good all-round office and IT skills, particularly MS Word and Excel, Gmail and Google Calendar, and database or CRM systems
  • Demonstrable self-sufficiency, motivation and ability to use initiative when faced with problems/challenges

Desirable skills, knowledge and behaviours 

  • At least three years of administrative experience
  • Experience in a charity or membership organisation
  • Experience of working with volunteers
  • Experience of using accountancy software

The Role

This position is full-time (37.5 hours/week) and is a permanent position. The job is to be carried out remotely. The role will involve travelling to occasional events across the country, including quarterly team meetings, which are usually held in London. Costs associated with travel to these meetings will be covered by the IES.

Salary

  • £29,658 per annum
