Main Purpose of the Post
We are looking for a multi-talented Events & Training Officer to be responsible for managing the IES events and training, from conception to completion. You will be a bright and confident individual who can fit with the friendly and collaborative culture of the office.

We are a small team with a flat hierarchy and a fast pace of work. Our office is located in the heart of London.

Job Role

  1. Develop and maintain systems to interact with, and listen to, IES staff, committees and members, and be aware of new issues within the sector, in order to develop a programme of events that adequately reflects the make-up and interests of our members and actively engages with emerging topics.
  2. Ensure continuous improvement and evolution of events and webinar programme
  3. Set, communicate and maintain project timelines and priorities
  4. Develop contacts and ensure good working relationships with venues, speakers, exhibitors and external suppliers
  5. Work with the CEO to forecast event income/expenditure and risk and deliver events within agreed budgets
  6. Organise appropriate sponsorship and co-badging of events
  7. Develop promotional materials and marketing collateral utilising the website, e-newsletter and social media channels to ensure visibility of events. Target new audiences (both within and outside of our membership) and devise appropriate mediums and messages to reach them, including working with other organisation to cross-promote and co-badge events
  8. Utilise new technologies for delivering innovative events
  9. Develop replicable and efficient processes for events marketing and delivery
  10. Onsite attendance and management of all aspects of operations at events to ensure they run smoothly
  11. Ensure that materials (photos, videos recording, audio etc) are collected from events and uploaded to appropriate media channels
  12. Manage post-event marketing
  13. Adopt appropriate feedback mechanisms to troubleshoot and continuously improve events
  14. Deliver and facilitate occasional CPD training and workshops and represent the IES at external events, such as student and careers fairs
  15. Work with other staff to ensure that they are aware of and engaged with upcoming events and training and that appropriate links are maintained and built between your work and the publications, policy and marketing functions.

Person specification
This is a multi-skilled position and we recognise that no candidate is likely to have all the desirable skills.

Essential Desirable
  • At least 1-year’s event management experience
  • Bright, confident individual with proven project management skills
  • Excellent time management with the ability to prioritise, juggle projects and meet strict deadlines
  • Strong copywriting skills with a keen eye for detail
  • Excellent communication skills with the ability to initiate and build relationships with stakeholders
  • Ability to work autonomously and within a small team environment
  • Strong negotiation skills
  • Good presentation skills
  • Experience of production of mid-size conferences
  • Experience of managing complex projects with competing priorities in a professional environment
  • Commercial experience of securing sponsorship and exhibitors
  • Experience of creating and collating content in Adobe Creative Cloud/Suite
  • Ability to spot problems before they occur and appropriately manage risk
  • Understanding of the environmental sector and/or membership associations
  • Experience of producing impactful outputs for social media platforms
  • Knowledge of CRM systems and email and online marketing software
  • Track record of delivery of training and/or workshop facilitation
  • Budgeting skills
  • Proven record of negotiating contracts
  • Existing network of venue operators and suppliers.

About the role
The position is full time. The initial contract will be for one year (subject to a three month probation period) with the possibility of extending.
